Privacy Policy

This policy explains what personal information Stefania Wood ("Stef", "I", "me") collects when providing companionship and wellbeing visits, why it's collected, and how it's kept safe. I'm the sole provider of this service and the person responsible for this information under South Africa's Protection of Personal Information Act (POPIA).

1. What information I collect

I collect information directly from you when you get in touch, book a visit, or complete onboarding, including:

  • The care recipient's name, preferred name, approximate age, birthday, and where they live.
  • General wellbeing context you choose to share — things like mobility, mood triggers, topics they enjoy, and any boundaries or safety notes (this is for awareness during visits, not medical record-keeping).
  • Contact and relationship details for family members or friends arranging or paying for visits — name, relationship, location, and preferred contact method (WhatsApp, email, or phone).
  • Visit records — dates, times, my notes, and general wellbeing impressions after each visit, and photos where you've welcomed them.
  • Payment status, for keeping track of what's been paid — payments are made by bank transfer into my own account, so I don't collect or store your card or bank account details.

2. Why I collect it

I use this information to:

  • Arrange, run, and keep a record of visits.
  • Send you updates after visits, by WhatsApp or email as you prefer.
  • Coordinate payment for visits.
  • Respond to enquiries and keep in touch about the service.
  • Keep your loved one safe and comfortable, by being aware of their needs and preferences.

3. Who it's shared with

I don't sell or rent your information to anyone. It's shared only where needed to provide the service:

  • Wise, which provides the accounts your payments are received into — Wise has its own privacy policy covering payment data.
  • WhatsApp or your email provider, as the messaging channel you've chosen — messages sent that way are subject to those platforms' own terms.
  • Supabase, the secure database platform that stores CRM records on my behalf.

4. How it's stored and protected

Information is stored in a secure, access-controlled database. Only I have access to it — there is no other staff. I take reasonable technical and organisational measures to keep it safe from loss, misuse, or unauthorised access.

5. How long it's kept

I keep information for as long as the visiting relationship is active, and for a reasonable period afterwards in case it's needed again or for record-keeping. If you'd like your information deleted sooner, just ask — see "Your rights" below.

6. Your rights

Under POPIA, you have the right to:

  • Ask what personal information I hold about you or your loved one.
  • Ask me to correct information that's wrong or out of date.
  • Ask me to delete information, subject to any records I'm required to keep.
  • Object to how your information is being used.

To exercise any of these, contact me using the details below. If you're not satisfied with how a concern is handled, you also have the right to complain to South Africa's Information Regulator.

7. Cookies and website tracking

This website does not use tracking cookies or third-party analytics. If that changes, this section will be updated to reflect it.

8. Changes to this policy

I may update this policy as the service evolves. The "last updated" date at the top of this page will always reflect the current version.
